What we collect through the enquiry form
When you send an enquiry we collect:
- your name, e-mail address and message;
- the topic you choose, if any ("What can we help with?");
- basic context about your visit: the page you first arrived on, the website that referred you (the site name only), any campaign tags in the link you followed, whether you had accepted analytics cookies, the country your connection came from, and whether you used a mobile, tablet or desktop device.
We do not store your IP address, your full browser details or your precise location. Our hosting provider processes your IP address briefly to deliver the website and protect the form.
Why we use it, and our lawful basis
- To reply to your enquiry and continue the conversation you started. Our lawful basis is our legitimate interest in responding to people who contact us.
- If you become a client, to manage our engagement with you, on the basis of the contract between us.
- To understand, in total, how people find us and which pages lead to enquiries. We do this with statistics that contain no name, e-mail address or message.
We do not use enquiry details for marketing, we do not sell them, and we do not share them with anyone other than the service providers listed below.
Who handles your information for us
- Cloudflare hosts this website, stores enquiries in a secure database, and protects the form against spam and abuse (Cloudflare Turnstile).
- Microsoft (Microsoft 365) delivers each enquiry to our enquiries mailbox (enquiries@ddd-ventures.com) and sends us a Teams notification.
- Google (Google Analytics) measures website use, but only if you accept analytics cookies.
These providers act on our instructions. Some of them may process information outside the United Kingdom. Where they do, they rely on the safeguards UK law requires, such as UK adequacy regulations or approved contract clauses.
How long we keep it
| Information | How long |
|---|---|
| Your name, e-mail address and message, if you do not become a client | 24 months after our last contact with you |
| The same, if you become a client | 6 years after our engagement ends |
| Statistics that do not identify you | Kept for analysis |
After the retention period, your name, e-mail address and message are deleted from our enquiry database. Our database provider keeps a recovery copy for a short period (up to 7 days), after which deletion is final. Copies of enquiry e-mails in our enquiries mailbox are deleted 24 months after we receive them, or sooner. If you become a client, our correspondence moves to your client file and is kept for 6 years after our engagement ends.
Cookies and similar technology
- Strictly necessary: the spam protection on the form (Cloudflare Turnstile) runs without asking for consent, because it is needed to keep the form secure.
- Cookieless statistics: Cloudflare Web Analytics counts page views without cookies and without identifying you.
- Analytics cookies: Google Analytics runs only if you choose "Accept all" or turn analytics on in Cookie settings (link at the bottom of every page). You can change your choice at any time.
Your rights
You can ask us to:
- give you a copy of the information we hold about you;
- correct it;
- delete it;
- restrict or object to how we use it;
- give it to you in a portable format, where that applies.
E-mail enquiries@ddd-ventures.com. We will reply within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office: ico.org.uk, or 0303 123 1113. We would appreciate the chance to put things right first.
Changes
We will update this page if how we use personal information changes. The date at the top shows the latest version.
